Secure OAuth handshake

The app can be installed from the Integrations menu in the Zuddl dashboard and authenticates through HubSpot’s OAuth flow. Because the token inherits your portal’s SSO, MFA, and permission sets, security teams gain the same audit controls they already apply to other HubSpot apps, and access can be revoked immediately if a contractor departs or the scope changes.

One-time field mapping

A visual map lets you drag any Zuddl field—standard profile data, UTM parameters, custom registration questions—onto HubSpot contact properties, then set an update rule (Always overwrite, Only-if-blank, Never). One mapping session keeps data types pristine, powers Smart Lists without manual cleanup, and ensures nurture journeys launch with fresh information seconds after a form is submitted, rather than relying on stale CSV uploads.

Program-level event sync

Each Zuddl event is mirrored in HubSpot as a Marketing Event record. New registrants create or update contacts and add an RSVPed status; check-ins flip the status to Attended, while no-shows remain Registered for accurate ROI math. Because the sync uses HubSpot’s native Marketing Event object, dashboards like Event Analysis or Attribution light up automatically with no custom reporting hacks.

Custom timeline activities

Granular engagement—poll votes, Q&A posts, booth scans, breakout-room dwell time—lands in the contact’s activity feed as a custom event with payload details such as Session Name, Question Text, or Booth Title. Sales can filter for high-intent signals (e.g., “Visited ‘Pricing Booth’”) and jump on hot leads minutes after they interact instead of waiting for an overnight batch job.

List sync & auto-registration

Any static or active list can flow from HubSpot to Zuddl as an Invite or Approval list. Toggle Auto-register, and new list members bypass the public form, receiving confirmation emails and calendar blocks instantly. This cuts friction for VIP executives—all their data is already in the CRM—and guarantees that late-added prospects or customers are captured without manual imports.

Two-way property enrichment

You can push additional Zuddl fields—such as Ticket Tier, Account Owner, and Dietary Needs—back to HubSpot during check-in or attendee updates, ensuring the CRM remains the single source of truth. For example, setting On-Site Meeting Booked toYes   helps customer-success teams create follow-up tasks without having to sift through event exports.

Duplicate management

By default, the integration keys on primary email; however, if you use HubSpot’s duplicate-contact API or custom duplication rules, Zuddl inherits the winner, preventing inflated contact counts and ensuring marketing attribution remains accurate.
